Payroll administrator cover letter example

Payroll managers and accounting firm partners read for precision and autonomy. Your letter should state your volume, your software, the collective agreements you know and one example of a difficult case you resolved.

Errors in the letter will be read as a risk on pay slips.

Subject: Payroll Administrator application, [Company or firm]

Dear [Name],

I am applying for the payroll administrator position at [Company or firm]. I currently manage a portfolio of [x] pay slips per month at [Accounting firm], for client companies in retail, construction and the hotel and restaurant sector.

Working with several collective agreements has taught me to check each client's rules before entering variables: overtime rates, seniority bonuses, meal allowances and specific leave. I file monthly DSN reports and handle the anomaly returns. Last spring, a client's pay slips showed a recurring difference on a pension contribution after a change of rate. I traced it to a setting in the software, corrected it with our provider and regularised the affected months.

I use Silae every day and have worked with Sage Paie. I also explain pay slips to employees and to our clients' managers, especially during sick leave or at the end of a contract.

I would be pleased to discuss the role and your payroll organisation.

Yours sincerely,[First Name Last Name][Phone] | [Email]

Frequently asked questions

Should I mention the number of clients?

Yes, along with the number of pay slips. In an accounting firm, the number of client companies shows how many different settings and agreements you handle at once, which matters as much as volume.

How do I apply after a payroll training course?

Mention your training, your placement or apprenticeship and the cases you processed there. Accounting firms often recruit recently trained payroll administrators and supervise them during the first months, so show that you are ready to learn quickly.

What if I have not used the software named in the ad?

Say which payroll software you know and how long it took you to become autonomous on it. Recruiters know that moving from Sage Paie to Silae or Cegid is mostly a matter of settings and screens, as long as you master the payroll rules behind them. Offer to take a short test on their tool.
