Business support assistant resume example

An assistant de gestion is the person who keeps a small or mid-sized French company running behind the scenes.

In a business of a few dozen people there is rarely a separate department for each task, so you cover several: you draw up quotes and invoices, chase customers who pay late, record supplier bills, prepare documents for the outside accountant, and handle staff paperwork such as hiring declarations, sick leave certificates and the company health insurance scheme. You also answer the phone, manage the boss's diary and organise the occasional trade show. In a building firm you will follow up on site paperwork; in a distribution company, on orders and deliveries. The job suits people who like variety and being the one everyone asks.

Tips

  • Show the breadth of what you handle: billing, purchasing, HR admin, accounting prep. In an SME, versatility is the job.
  • Name the software you used, including the invoicing or ERP tool specific to the sector.
  • Mention the size and sector of each company, since tasks differ between a building firm and a wholesaler.
  • Give one example where you improved a process, such as a reminder schedule or a filing system.
  • Write the BTS Gestion de la PME (or the older BTS Assistant de gestion PME-PMI) in full; recruiters search for it.

Mistakes to avoid

  • Presenting yourself as a pure secretary when the role asks for accounting and HR admin too.
  • Listing tasks without saying for how many people, customers or sites.
  • Forgetting the external partners you dealt with: accountant, payroll provider, bank.
  • Using vague labels like 'admin tasks' without describing them.

Working as a business support assistant in France

The job is not regulated in France. The reference diploma is the BTS Gestion de la PME, which replaced the BTS Assistant de gestion PME-PMI; employers also recruit with a BUT GEA or the vocational title Assistant de gestion. Many people train through alternance, combining school and an employer. You will deal with French-specific paperwork such as the DPAE hiring declaration, the mutuelle and VAT returns, so working French is required. Search for 'assistant de gestion', 'assistante de gestion PME', 'assistant administratif et comptable' or 'gestionnaire administratif'.

Frequently asked questions

What is the difference between an assistant de gestion and an assistant administratif?

The assistant administratif focuses on organisation, mail, diaries and documents. The assistant de gestion adds management tasks: invoicing, payment follow-up, basic bookkeeping, HR administration and sometimes purchasing. Job ads in SMEs often use the two titles loosely, so read the task list before deciding how to present yourself.

Do I need accounting knowledge?

You need the basics: understanding an invoice and VAT, recording entries in the software, matching payments and preparing documents for the accountant. You are rarely asked to produce annual accounts, which stay with the external firm or a dedicated accountant.

Is it worth mentioning an apprenticeship?

Definitely. Many assistants de gestion train through alternance in a BTS GPME, and two years in a real company count as experience. Describe the apprenticeship like a job, with the company, its size and your actual responsibilities.
