Lettings property manager cover letter example

Agencies hiring a lettings property manager read the letter to answer two questions: can this person take over a portfolio without supervision, and will landlords be happy with them?

Show that you know the tenancy cycle, mention a concrete situation you resolved (a deposit dispute, a long arrears case, a water leak with an absent landlord) and explain why this agency's portfolio suits you.

Subject: Application for the Gestionnaire locatif position, ref. [Reference]

Dear [Hiring Manager Name],

Your ad on [Website] mentions a portfolio of unfurnished family flats, which is the type of property I have managed for the past [x] years at [Current Agency] in [City]. I would like to continue this work at [Agency] as your lettings property manager.

My portfolio currently covers [x] leases, mostly unfurnished flats. I handle every stage: checking tenant files and guarantors, drafting leases, carrying out inspections, applying the IRL rent review and returning deposits within the legal deadline. Each year I run the service charge reconciliation and explain the result to tenants who question it, which avoids most disputes.

Arrears are the part of the job I take most seriously. I call tenants as soon as a payment is late rather than waiting for the second month, and I propose a payment plan when the situation allows it. When it does not, I prepare the guarantee insurance claim and the file for the bailiff without delay, so the landlord loses as little time as possible.

Landlords trust me because they hear from me before they have to ask: a short report after each inspection, quotes compared before any repair, advice on rent levels when a flat becomes vacant. I also speak English, which helps with the foreign owners some agencies work with.

I would be glad to discuss how I could take over part of your portfolio. Thank you for your consideration.

Kind regards,[First Name Last Name]

What to highlight

  • The size and type of portfolio you have managed or could take over
  • Your method for preventing and handling unpaid rent
  • Your knowledge of French tenancy law and recent regulatory changes
  • Your relationship with landlords: reporting, advice on rent levels, works
  • Your availability for inspections, including some Saturdays

Mistakes to avoid

  • Writing a letter that would fit a sales negotiator, with no reference to management.
  • Promising to "reduce arrears to zero", which no experienced manager would claim.
  • Ignoring the agency's profile: a social housing landlord and a high-end Paris agency expect different tones.
  • Sending the same letter to a co-ownership management (syndic) job, which is a different role.

Frequently asked questions

Is a lettings manager the same as a syndic manager?

No. The gestionnaire locatif deals with individual landlords and their tenants. The gestionnaire de copropriété works for the syndic and manages the building as a whole: general meetings, common areas, building budget. Both roles exist in the same agencies, so tailor your letter to the one you apply for.

Can I apply without experience in a French agency?

Yes, especially for assistant positions (assistant de gestion locative), which are a common entry point. Highlight what transfers: rent collection, contract administration, tenant relations abroad. Show that you have studied the French framework and say you are ready to start with a smaller portfolio.

Should I mention that I am willing to work Saturdays?

It helps. Many agencies schedule inspections and key handovers on Saturdays because tenants work during the week. A short sentence about your availability answers a question the recruiter would otherwise ask in the interview.
